GENERAL POLICIES

Cancellation Policy

We have a cancellation policy for therapy sessions and lessons. We feel that your time as well as ours is valuable. Because of this, we see clients only on an appointment basis, so that we can minimize the amount of time spent in the waiting area. Missed appointments interfere with our ability to see clients in a timely manner. We have worked out the following guidelines to minimize the problem. We request 24 hour notice when appointments are changed or cancelled. We recognize unexpected problems arise, but most scheduling conflicts are resolved with one day’s advanced notice. A charge will be made for broken appointments without 24 hour notice. You will be billed for the fee to cover your missed appointment. Unfortunately the bill cannot be sent to an outside provider.  In case of inclement weather you will be contacted by a staff member and you may also check our social media for updates.

Confidentiality Statement

All information received from clients will be treated as confidential information. Tempo! will protect the legal, professional, and personal rights of all clients.

 
Quality Assurance

Tempo! believes that quality standards must be established, monitored, and evaluated to insure quality services are provided and standards are met and/or exceeded. We accomplish this by periodically asking clients to complete client satisfaction surveys as well as monitoring treatment standards against the CBMT (Certification Board for Music Therapists) and the AMTA (American Music Therapy Association) standards and code of ethics. Tempo’s staff participates in clinical staff meetings and supervision as well as regularly attending and presenting at conferences.

 
Covid-19 Policy
Tempo! has continued to monitor our Covid-19 protocols in accordance with the guidelines from our multiple funding sources and insurance policies. As of September 1st, 2022, we will no longer require individuals attending on-site services to be vaccinated against Covid-19.

Refund Policies

We are unable to process any refund requests for therapy groups after the first day of the semester. You may make up one missed session at the designated make up group time.

Grievance Policy and Procedures

Participants in any Tempo! programs have the right to file a grievance. Clients must provide written documentation of the complaint within 30 days of the activity, outline the problem as it is perceived, and state the preferred solution. Mail the grievance letter to Tempo! 7 North Five Points Road, West Chester, PA 19380. Once the grievance letter is received, the director will review the information, and then respond in writing within 14 days of receipt of the grievance letter. If you disagree with the resolution of the grievance, you have the right to appeal the decision within 14 days. State the reasons for your appeal in a letter and mail it to Tempo! 7 North Five Points Road, West Chester, PA 19380. Tempo! will review the appeal and respond in writing within 14 days of receipt of the appeal letter. If the grievance involves a CMTE course and it is still not resolved satisfactorily, you have the right to ask CBMT’s Continuing Education Committee to address the unresolved grievance.

 
Illness Policy

If you are aware that you or your child has symptoms of a communicable illness virus, or if you are aware that you or your child has been exposed to a communicable illness or virus, we err on the side of caution and ask that you do not bring them into our studios. We err on the side of caution to keep our instruments and our environment clean and safe for all, including the staff. If you or your child has had a fever, runny nose or sore throat, please be symptom free for 24 hours before returning to class. If you or your child are not feeling quite like normal, PLEASE reschedule your class or session. We have children in class who are at many different stages of oral development and taste testing is what they do. Please help us keep the germs out as best we can. Thanks in advance understanding!

P.S. Feel free to use the hand sanitizer in our studios!

 

Returned Checks and Stop Payments

If a check is returned for any reason there will be a $20 fee.

POLICIES

Registration

Registration is on a first come first served basis. A full refund will be given if you withdraw before the first day of the semester; If you withdraw on or after the first day of the semester, a $15.00 early withdrawal fee will be deducted from your credit as well as any class fees, depending on the week of the semester. This credit will remain on file for one year from the date issued after which time, the credit will expire.  Like most programs, we cannot normally refund or give credit for classes missed during the semester, even if absences have been frequent. Nonetheless, at the discretion of the director, partial credit may be provided towards future classes in cases of prolonged absence due to severe illness, or other unusual circumstances. If you have already used your materials a nonrefundable $60 fee will be deducted from the credit.

The computation of this tuition credit does not include the registration fees or any instrument purchases, or a fee covering open materials and early withdrawal after the first day of classes.

Materials returned in their original sealed condition, the first week of classes, will be credited. No credit will be given for materials returned after the first week of class or if materials are returned in poor condition or opened.

 

Make Up Class Policy

You will be able to schedule 2 make-up classes during this TEN week session. No make-ups will be carried over into the next session and 24 hour advance notice for make-ups and cancellation for make-ups is required.  Non-registered siblings are allowed to attend make-up classes. However, there will be a charge for the extra child.

For example:

  • If you have 2 make-ups to do and you need to bring a non-registered child with you to your make-up class, each child will count as 1 make-up. You will have no make-ups left to do.

  • If you have 1 make-up to do and you need to bring a non-registered child with you, the charge for the extra child will be $15.00 in cash.

To register for a make-up class, please e-mail info@tempotherapy.com. If you know that you will be absent in advance please tell your child’s teacher as this will allow for extra families to make-up in your class.

If you have registered for a make-up class and do not call to cancel before 8:00am the morning of, this will count as a make-up for you and your child.

 
The Best Thing You Can Do For Your Child

It is Music Together’s® philosophy that children should not be forced into musical behaviors. Please allow your child the freedom to experience music in whatever way he or she chooses.  The BEST thing you can do for your child is model musical behavior by singing and actively participating in the activities, yourself. Having a good time is very contagious.  Parent involvement is important to having a successful Music Together® experience with your child. I count on you to participate and serve as the “ultimate” role model for you child and the other children. Don’t forget to SING and have FUN!

 

Talking Policy

Refrain from talking to your friends during class. It is very important for the children to realize that we are here to experience music. If you talk rather than sing, the children will think that talking is an acceptable behavior when actually it is distracting to everyone and it is especially difficult for your teacher to sing over the talking.

 

Cell Phones

Please turn off cell phone ringers (vibrate is acceptable) during class time.  Cell phone use in the classroom during class time is not permitted.  In case of emergencies, please step out of the classroom to accept the call.

 
CDs and Songbooks

Repetition, repetition, repetition! The more you listen at home, in the car or at Grandma’s, etc., the more your child will respond in class and at home. Be sure to involve the rest of the family.

 

Inclement Weather

In case of inclement weather you will be contacted by a staff member and you may also check our social media for updates.

 

Behavior

We may ask for intervention, or we may intervene if your child’s behavior is a concern for himself or others in the class. (Ex: throwing instruments, WILD running, etc.)  The goal is to keep the class safe. If at any point your child is hurt, please be sure to fill out an accident report before you leave the facility.

 

Food and Drink

NO FOOD during class. This can be disruptive to the other class members and is not fair. If your child must have something to eat please take them outside the classroom and come back in when you are finished.

Please remember cups without spill-proof lids will not be permitted. Again we would appreciate if you would take your child outside the circle let them drink and then put it away.

Please remember that there is always a possibility of a child having a severe food allergy in class and I ask that we all respect each others concerns for our children’s well being.
